MallorcaPets.org is a platform for pet owners, tourists, animal welfare organisations, clubs, veterinarians, veterinary clinics, dog schools, boarding kennels, pet sitters, dog groomers, pet shops and other pet-related services on Mallorca.

The platform provides information, search functions, maps, profiles, contact options, commenting and voting features, as well as club and organisation functions.

We process personal data only to the extent necessary for operating the platform, providing its features, communicating with users, securing the website, managing profiles, or fulfilling legal obligations.

MallorcaPets.org does not collect donations itself and does not process donation payments. If clubs, organisations or providers link to their own external donation options, payment is made exclusively through the respective external party.

MallorcaPets offers a messaging and enquiry system that lets signed-in users communicate with the operators of claimed profiles (e.g. associations, vets, clinics, providers) as well as with MallorcaPets itself regarding platform topics. Messages are stored in a dashboard inbox and are accessible to the parties involved.

In particular, the following is processed: sender and recipient assignment (user account), subject, message content, language, timestamps and the processing status. Please only provide information in messages that is necessary to process your request.

To enable communication across language barriers, the message text may be translated automatically into the preferred language of the other party. For this purpose, the content is transmitted to an AI service (OpenAI); the original is always retained and remains visible. No personal data beyond the message text is sent to the translation service.

We may notify you of new messages by email. These notifications deliberately contain no sensitive content, only a note and a link to the inbox. MallorcaPets is not an animal emergency service; no response time is guaranteed.

Depending on how the platform is used, the following data may be processed:

• Name, first name or display name
• Email address
• Phone number
• Address or location details, where voluntarily provided
• User account and login data
• Roles, permissions and profile assignments
• Information about clubs, organisations, providers or profiles
• Information in connection with a profile claim
• Content from contact forms, comments, votes, reports or submissions
• Uploaded images, text or other content
• Technical data such as IP address, browser type, device data, date and time of access
• Map and location data, where users actively enter or mark them
• Administrative data within club software, where corresponding features are used

We process personal data in particular for the following purposes:

• Providing and technically operating MallorcaPets.org
• Displaying and managing profiles for clubs, organisations and providers
• Claiming and maintaining profiles by authorised operators
• Managing user accounts and access rights
• Using club features and internal administration modules
• Publishing posts, comments, reports or recommendations
• Processing contact requests and error reports
• Reviewing profile claims and permissions
• Displaying maps, locations and route links
• Improving data quality and preventing incorrect entries
• Moderating comments and user content
• Technical security, abuse detection and error analysis
• Communication with clubs, providers and users
• Publishing approved content on MallorcaPets channels, in particular Facebook and Instagram
• Creating and reviewing text, translation or data suggestions through AI-powered features

Processing is carried out on the following legal bases depending on the purpose:

• Art. 6(1)(b) GDPR, where processing is necessary for the performance of a contract or pre-contractual measures, for example for user accounts, profile claims, club features or paid add-on features.
• Art. 6(1)(f) GDPR, where we have a legitimate interest in the secure, stable and user-friendly operation of the platform, for example for server logs, abuse protection, quality assurance, profile management or the display of publicly relevant information.
• Art. 6(1)(a) GDPR, where consent is required, for example for the voluntary publication of certain content or optional social media publications.
• Art. 6(1)(c) GDPR, where we are legally obliged to process data.

The website is technically provided via Vercel. When the website is accessed, Vercel processes technical data required for delivery, security, performance and error analysis.

This may include in particular:

• IP address
• Date and time of access
• Pages and files accessed
• Browser and device information
• Technical error and security logs
• Referrer information

Processing is carried out to provide the website, defend against attacks, analyse errors and ensure stable operation.

We use Supabase for database, authentication and backend functions.

According to our current configuration, the Supabase database for MallorcaPets is operated in the Paris, France region.

The following data may in particular be processed via Supabase:

• User accounts
• Login and session data
• Profile and organisation data
• Club software data
• Comments and votes
• Contact form requests
• Profile claims
• Submissions, reports and administrative data
• Import and quality review data
• Technical log data

Supabase processes data as a technical service provider on our behalf. Where required, a data processing agreement is concluded with Supabase.

We use Cloudflare for domain, DNS, security and performance functions. We also use Cloudflare R2 to store and deliver images and media files.

When the website or media files are accessed, Cloudflare may process technical data, in particular:

• IP address
• Browser and device information
• Requested files
• Timestamps
• Security and performance data
• Technical logs

Cloudflare R2 may in particular store images and files uploaded or provided for profiles, posts, club pages or other platform features.

Processing is carried out to deliver the website securely and efficiently, protect against attacks, optimise performance and store media files.

Certain features of MallorcaPets.org can only be used with a user account. These include in particular comments, votes, profile claims, club features and protected administration areas.

When registering and using an account, we process in particular:

• Email address
• Login data
• User ID
• Roles and permissions
• Technical session data
• Activities within protected areas

Comments and votes are only available to registered users in order to prevent spam, abuse and manipulation.

Registered users may, depending on the feature, post comments, vote, leave recommendations or rate content.

The following may be processed:

• User account or display name
• Comment text
• Vote or recommendation data
• Time of publication
• Technical data for abuse prevention

Comments and publicly submitted content may be visible to other users. We reserve the right to moderate or remove comments or block users if content is unlawful, offensive, misleading, promotional, abusive or off-topic.

When users contact us via a contact form or by email, we process the data provided in order to handle the request.

This includes in particular:

• Name
• Email address
• Phone number, if provided
• Message
• Subject or matter
• Technical metadata of the request

The data is stored only for as long as necessary to handle the request and fulfil any documentation obligations.

MallorcaPets displays publicly relevant information about pet-related services on Mallorca. This may include:

• Veterinarians
• Veterinary clinics
• Animal shelters
• Animal welfare associations
• Dog schools
• Boarding kennels
• Pet sitters
• Dog walkers
• Dog groomers
• Pet shops
• Dog beaches
• Dog parks
• Public or non-profit contact points

Public profiles may contain information such as name, category, location, address, contact details, website, opening hours, map and description.

If a profile has not yet been claimed by the provider, this may be indicated accordingly. Providers, clubs and organisations can claim a profile and add or update information.

Providers, clubs and organisations may apply to claim an existing profile. In doing so, we process the data provided in the form, for example:

• Name of the applicant
• Email address
• Phone number
• Function or role
• Name of the organisation or company
• Proof of authorisation
• Message and further details

This data is used to verify whether the person is authorised to claim and edit the profile. After successful review, the profile may be marked as claimed or verified.

MallorcaPets may provide clubs and organisations with additional features, for example for managing profiles, posts, animals, volunteer requests, flight volunteers, internal information, contacts or other organisation data.

Where clubs or organisations manage personal data of their own members, volunteers, interested parties, contact persons or other data subjects on the platform, they must ensure that they are authorised to enter and process this data.

Before using corresponding club software features, a separate data processing agreement may be required. Clubs and organisations must confirm this agreement before storing or processing third-party personal data in the relevant areas.

In this case, MallorcaPets provides the technical platform and processes the data in accordance with the respective agreement.

Users, clubs or organisations may submit content, for example posts, animal profiles, adoption notices, help requests, events, images or other information.

By submitting content, the user declares that they are authorised to publish it and that no third-party rights are infringed. If personal data of third parties is included, the submitter must ensure that appropriate authorisation or consent exists.

MallorcaPets may also publish approved content, posts, help requests, animal profiles or reports on its own social media channels, in particular on Facebook and Instagram.

Such publication only takes place if the content is intended for publication or the submitter has agreed to publication or consciously uses this feature.

When content is published on Facebook, Instagram or other platforms, it is transmitted to the respective platform operator. The privacy policies and terms of use of the respective provider apply there in addition. MallorcaPets has no full control over how these platforms further process data.

Users should not submit sensitive personal data, private contact details or information about third parties if this may not be published.

MallorcaPets may use Make.com for technical automation. Make.com is used to connect certain workflows between MallorcaPets, internal systems and external platforms.

Possible use cases include in particular:

• automatic forwarding of approved posts to social media channels
• publication of approved content on Facebook or Instagram
• notifications for new entries, profile claims or contact requests
• internal administration and moderation workflows
• synchronisation of status information or publication approvals
• technical support for recurring platform processes

Depending on the specific workflow, the following data may be transmitted to or processed by Make.com:

• titles, texts and images of approved posts
• profile names, club names or organisation names
• links to MallorcaPets profiles or posts
• publication status and approval information
• technical metadata such as timestamps, IDs or processing status
• contact details where required for the respective automated process

Automatic publication on Facebook, Instagram or other social media channels only takes place when the respective content is intended or approved for this purpose. Internal club data, private member data or non-approved personal data is not knowingly used for public social media publications.

Make.com processes data as a technical service provider. Where required, a data processing agreement is concluded with Make.com. When using international service providers, processing outside the EU or EEA cannot be fully ruled out. In such cases we rely on appropriate legal safeguards, for example standard contractual clauses or comparable data protection agreements.

MallorcaPets may link to its own social media profiles or to profiles of clubs, organisations or providers.

When users click external social media links, they leave MallorcaPets.org. The respective platform operators are responsible for the further processing of personal data.

If social media content is embedded, data may already be transmitted to the respective platform operator when the embedded content is loaded. If such embeds are used, they are considered separately from a technical and data protection perspective.

MallorcaPets uses map features to display locations, find sites, providers, clubs, veterinarians, animal shelters, dog beaches or other relevant points on Mallorca.

Map data and services based on OpenStreetMap are used for this purpose. When maps or map sections are loaded, technical data may be processed, in particular IP address, browser information and requested map sections.

The maps serve orientation and help users find places more easily. Route links to external services such as Google Maps, Apple Maps or OpenStreetMap may be offered. When users click such external links, they leave MallorcaPets and the privacy policies of the respective provider apply.

When users mark a find location, sighting location or position on the map, we process the location data provided in order to display and handle the respective report.

Location data is only processed when users actively enter, mark or share it. Automatic permanent location tracking does not take place.

MallorcaPets contains links to external websites, profiles, social media pages, map, donation or contact pages. The respective providers are responsible for the content and privacy practices of external websites.

When users click an external link, they leave MallorcaPets. We have no influence over what data is collected or processed there.

MallorcaPets may use technically necessary cookies or comparable storage technologies to provide the website, store language settings, enable logins or ensure security functions.

This may include in particular:

• Login and session information
• Language settings
• Technical security functions
• Form and user interactions
• Display or usability settings

Where only technically necessary storage functions are used, processing is based on our legitimate interest in the secure and user-friendly operation of the website or on contract performance.

If analytics, marketing or tracking services are introduced in the future, we will inform users separately and, where required, obtain consent.

To ensure proper operation, technical and organisational measures may be used to detect spam, abuse, unlawful content, security attacks or manipulation.

This may involve processing IP addresses, user account data, timestamps, technical logs and content from reports, comments or votes.

MallorcaPets may use AI-powered features to structure content, review data quality, prepare profiles, generate text suggestions, create translations or support submitted content.

Services such as OpenAI and Jina AI may in particular be used for this purpose.

Possible areas of use include:

• Checking data quality
• Structuring import data
• Technically reading or summarising website information
• Preparing profile texts
• Generating translations
• Suggesting SEO metadata
• Supporting comments or submissions
• Preparing content as suggestions for administrators or profile operators

The following applies:

• AI-generated content is not automatically published as confirmed facts.
• Suggestions may be reviewed and approved by administrators, providers or organisations.
• Sensitive personal data is not unnecessarily transmitted to AI services.
• Google reviews, social media content or third-party protected content are not adopted without review.
• Where personal data is processed, this is done only for the purposes described and on the basis of an appropriate legal basis.

Where external AI services process personal data on our behalf, we ensure appropriate contractual and technical safeguards.

If MallorcaPets offers newsletters, automatic notifications or email updates in the future, the data required for this will only be processed after corresponding registration or within the scope of permitted communication.

Users can unsubscribe from newsletters or voluntary notifications at any time.

If no newsletter is currently offered, no corresponding processing takes place.

MallorcaPets does not collect donations itself and does not process donation payments.

If clubs or organisations link to their own external donation options, payment processing is carried out exclusively through the respective external provider or organisation. The privacy policies of these external services apply.

If paid add-on features, premium profiles or platform services are offered in the future, we will provide separate information about the payment service providers used and the associated data processing.

We store personal data only for as long as necessary for the respective purposes or where statutory retention periods apply.

Examples:

• Contact requests are stored for as long as necessary for handling and traceability.
• User accounts are stored for as long as the account exists.
• Profile and organisation data are stored for as long as the profile is active or legal obligations exist.
• Comments and public content remain stored for as long as they are published or until they are deleted.
• Vote data is stored for as long as necessary for provision and abuse prevention.
• Technical logs are stored only for a limited period, unless they are required for longer for security reasons.
• Data from profile claims is stored for as long as necessary to verify authorisation.
• Club software data is stored for as long as the respective contractual or usage relationship exists or legal obligations apply.

Personal data may be transmitted to the following recipients or categories of recipients:

• Technical service providers and hosting providers
• Vercel as hosting and delivery service
• Supabase as database, authentication and backend service
• Cloudflare as DNS, security, performance and storage provider
• Administrators of MallorcaPets
• Authorised clubs, organisations or providers, where they manage a profile or club features
• OpenAI, Jina AI or other AI services, where corresponding features are used
• Make.com as an automation service, where corresponding workflows are used
• Social media platforms, where content is published there
• External map or route services, where users click corresponding links
• Authorities, legal advisers or tax advisers, where legally required

Data is not shared with third parties for advertising purposes.

We aim to use services with data processing within the European Union or the European Economic Area wherever possible.

According to our current configuration, the Supabase database is operated in Paris, France. The website runs via Vercel; domain, security and image functions are provided via Cloudflare.

When using certain international service providers, in particular Vercel, Cloudflare, Make.com, social media platforms, OpenAI, Jina AI or external map and route services, processing outside the EU or EEA cannot be ruled out.

In such cases, transfer only takes place where an appropriate legal basis and adequate safeguards exist, for example adequacy decisions, standard contractual clauses or contractual data protection agreements.

We implement technical and organisational measures to protect personal data against loss, misuse, unauthorised access, alteration or disclosure.

These include in particular access restrictions, role-based permissions, secure connections, logging, limiting access to authorised persons and regular review of technical systems.

We may update this privacy policy when platform features, technical services, legal requirements or processing procedures change.
